Role Description
The EHR System Administrator at Zócalo Health is responsible for the administration, configuration, and optimization of our electronic health record (EHR) system, AthenaHealth. This role ensures efficient workflows, compliance with clinical documentation standards, and robust support for operational and clinical initiatives. The position also involves developing and maintaining reports (SQL, Crystal Reports), forms, custom configurations, interfaces, and output files from the EHR system.
The EHR System Administrator collaborates with Zócalo Health’s security and compliance team to ensure adherence to privacy and security standards, particularly regarding protected health information (PHI). This includes performing routine audits, addressing gaps, and ensuring all processes align with regulatory requirements. The role also analyzes workflows, data flows, and system utilization to create logical, efficient solutions that meet organizational goals.
This position requires a mix of technical expertise, problem-solving skills, and the ability to collaborate effectively with cross-functional teams to meet Zócalo Health’s operational and compliance needs.
This role is ideal for an experienced AthenaHealth expert who thrives in a fast-paced environment.
About the Role
EHR Configuration:
Configure encounter plans, templates, workflows, and user roles in Athena to support clinical and operational needs.
Develop custom configurations, forms, and interfaces to enhance EHR functionality.
Serve as the primary point of contact for resolving help desk tickets related to EHR issues, including working with software vendors to resolve escalated concerns.
Ensure the security, integrity, and privacy of organizational data in compliance with Zócalo Health’s policies and procedures.
Reporting and Data Management:
Build and maintain operational and clinical reports using SQL and Crystal Reports to monitor performance and generate actionable insights.
Collaborate with clinical and operational teams to analyze workflows and data flows, identifying opportunities for improvement and automation.
Provide data output files for external reporting needs and ensure timely submission to health plans and other partners.
Revenue Cycle and Compliance Support:
Partner with the RCM team to streamline billing workflows and ensure accurate claim submissions.
Provide guidance on best practices for documentation to optimize reimbursement and meet payer requirements.
Training and Optimization:
Deliver training on EHR systems and workflows to staff, ensuring understanding and optimal use.
Document workflows, processes, and system configurations in a clear and concise manner.
Collaborate with clinical and operational leaders to ensure new team members are onboarded effectively and understand EHR utilization.
Project Management and Collaboration:
Work closely with the Director of Clinical Informatics, operational leaders, and cross-functional teams to develop technology solutions that enhance organizational performance.
Participate in solution testing, ensuring implementation aligns with project goals and quality standards.
Evaluate requests for new configurations or programming, provide timetables for completion, and prioritize tasks to align with company objectives.
Compliance and Optimization:
Monitor clinical documentation for compliance with health plan requirements and optimize workflows to improve efficiency.
Partner with the Revenue Cycle Management (RCM) team to streamline billing workflows and ensure accurate claim submissions.
IT Support:
Assist with general IT support needs across the organization, including third-party systems interacting with Athena.
Requirements for the Role
Education
Bachelor’s degree in health informatics, healthcare administration, IT, or a related field or equivalent experience.
Experience:
Minimum of 3 years of experience with Athena in a configuration, optimization, or administration role.
Proven experience in a healthcare or clinical operations setting.
Strong knowledge of healthcare compliance, payer-specific requirements, and documentation standards.
Skills:
Expert-level knowledge of Athena (EHR) configuration, including encounter plans, user management, and reporting.
Proficiency in building and interpreting reports to support clinical and operational goals.
Strong problem-solving skills and a process-oriented mindset.
Excellent communication skills with the ability to train and support team members.
Collaborative team player comfortable working with cross-functional stakeholders.
