Reporting to the Manager, Executive Support Team, this person will be responsible for providing a high energy, welcoming experience for employees and visitors, ensuring smooth day-to-day office operations, as well as administrative support to several members of our leadership team. This is a full time in person role and the hours are Monday-Friday, 8am-5pm.
As this is a full-time, in-office position, we are only considering candidates in the tri-state area, with a strong preference for those located in the New York City area.
What You’ll Be Doing
Receptionist Duties
- Create a welcoming and organized office environment that supports team productivity and comfort. ensuring Spring employees have the l resources to do their best work
- Serve as the primary greeter and point of contact for employees, guests and vendors acting as a guide throughout their time in the office (e.g. check-in process, notifying their host, and help them navigate the space and technology)
- Manage the day-to-day operations of the front desk and common spaces, including:
- Maintaining a clean and inviting reception area and common spaces
- Monitoring and restocking office supplies, snacks and materials
- Conference room booking support and general upkeep
- Organizing and and distributing mail/packages
- Coordinating catering and set-up for in-office meals, meetings and events
- Assisting the Workplace Experience Partner with events and special projects.
Administrative Assistant Responsibilities
- Providing high-level and proactive administrative support to several senior leaders including:
- Calendar management, scheduling, and meeting coordination
- Preparing and submitting accurate expense reports
- Coordinating travel and accommodations, including detailed itineraries
- Managing light personal errands, reservations, and vendor coordination when needed
- Supporting team event planning and logistics
- Handling ad hoc tasks and special projects
What success looks like in this role:
- Effective task completion
- Proactively identify and resolve office operations issues (e.g. supply needs, equipment glitches) before escalation by team members
- Attention to detail and proactive logistics management
What We Expect From You
- 1+ years of relevant administrative or office coordination experience (or relevant transferable skills)
- Experience in a fast-paced, hyper-growth environment, startup experience is a plus
- Team player with "Can-do" attitude and a collaborative approach
- Familiarity with Google Suite, Slack, and Asana preferred
- Be able to lift up to 30 pounds
- Comfortable managing both personal and professional tasks with discretion
- Positive energy and professional demeanor
- Exceptional customer service and interpersonal skills
- Strong organizational, time management and multitasking abilities with a keen attention to detail
The target base salary range for this position is $31.25 - $40.87, and is part of a competitive total rewards package including stock options and benefits. Individual pay may vary from the target range and is determined by a number of factors including experience, location, internal pay equity, and other relevant business considerations. We review all employee pay and compensation programs annually using Radford Global Compensation Database at minimum to ensure competitive and fair pay.
