About the Role

We are seeking a dedicated and organized Clinical Operations Coordinator to manage a variety of operational tasks that are critical to our team's efficiency and overall success. This role is essential in bridging the gap between patients, our clinical team, the operations team, and the technology team and reports to the Director of Clinical & Insurance Operations. The ideal candidate will be adept at handling tasks that are not yet automated, those that may never be automated, and tasks requiring human intervention to resolve inaccuracies. The Clinical Operations Coordinator will ensure clarity and reduce interruptions and confusion, thereby streamlining processes and enhancing communication across teams.

This role is a fixed-term, 6 month contract with the possibility to extend or convert based on performance and company need.

Responsibilities

  • Credentialing Management: Maintain current and accurate contract details in our platform by managing the data through our internal tools.
  • Managing Provider State Licensure Configuration: Ensure providers' state licensures are correctly configured and maintained in the Season platform.
  • Manage Provider PTAN Configuration: Manage and update PTAN configurations for providers in the Season platform.
  • Managing Insurance Contract Configuration: Handle the configuration and updates of insurance contracts in the Season platform.
  • Referral Management:
    • Take referrals from various sources (e.g., Healthie efax, Jotform) and enter them into our system.
    • Use tools to link referrals to existing patients.
  • Patient Workflow Management:
    • Reach out to patients with referrals to encourage sign-ups.
    • Contact patients who signed up but are missing referrals to obtain or update referral information.
  • Information Gathering and Question Answering:
    • Collect and answer questions regarding patient, provider, and plan information.
    • Source referrals or proof of condition (Verified ICD10 Code) from patients or their PCPs.
  • Patient Communication:
    • Update patients on the progress of their insurance requirements.
    • Potentially reschedule appointments if necessary.
    • Answer questions from patients about their insurance benefits.
  • Provider Support: Help providers track patient visit limits and usage.
  • Clinician Support: Field support questions related to patient insurance, Healthie issues, and scheduling issues.
  • Insurance Inquiries: Contact insurance plans or access insurance portals to get specific information on patients' coverage or usage.
  • Manual Insurance Coverage Actions: Own and manage a queue of manual actions required for insurance coverage in various failure cases.
  • Other administrative duties as needed for the Clinical Operations and Clinical team.

About You

  • A self-starting mindset and highly-developed sense of ownership; you readily identify opportunities for improving existing ways of doing things and bring creative solutions to the table.
  • The ability to take direction with strong organizational skills and attention to detail.
  • Highly organized and able to present work in a clear and concise manner
  • An ability to learn quickly and toggle between tasks easily
  • A comfort for ambiguity and a faster pace of working - ability to manage multiple tasks and priorities effectively.
  • Exceptional written and verbal communication skills critical to a remote working environment.
  • Technical and digital proficiency and comfortability in learning new platforms, including our internal tools, as needed
  • Experience with Google Workspace, Notion, Slack
  • Ability to work collaboratively with multiple teams and stakeholders.
  • Preferred but not required:
    • 1+ year in a similar administrative role
    • Experience with Healthie, Jotform and Candid are a plus
    • Familiarity with healthcare operations and insurance processes is a plus.

Compensation and Benefits

  • The salary for this role is $45,000/yr (pro-rated for 6 months)
